UARR is seeking an Administrative Assistant to join the team. This is a contract position for 40 hours/week from January to December, with possibility of extension.

Job Title: Administrative Assistant

Term: 40 hours/week from January to December 2023 (with a possibility of extension)

This is an on-site position requiring regular travel to the office in Scarborough, Ontario.

 

Responsibilities:

First point of contact for all inquiries, responding to all e-mails and phone calls in a professional manner

▪ Prepare correspondences and written statements for circulation

Assist Program Leads, Administrator and Executives with coordinating and scheduling meetings, and recording meeting minutes

Produce methods of effective filing, record keeping, and organizing important documents

Prepare and update material for external communications; Website, Newsletters, Social Media posts etc.

Produce program summaries and reports for distribution to stakeholders

Support the team with various tasks; collecting documents, data entry, and follow-up communications

▪ Assist with the collection of data for payroll, accounts payables and receivables

Assist with event planning, program implementation, and project management for certain initiatives

Support with recruitment and hiring initiatives; scheduling interviews, conducting reference checks, drafting contracts etc.

Assist with miscellaneous support to leadership as needed

 

Qualifications:

At least two years of experience in administrative duties

Ability to travel to the office location to work on-site

▪ Ability to carry out various tasks efficiently with attention to detail

▪ Ability to understand instructions and apply sound judgment while meeting tight deadlines

Clear and effective verbal and written communication skills

▪ Ability to take initiative and work collaboratively as part of a team

Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook etc.) and Google Suite

Basic skills in maintaining database, tracking data and book-keeping

Ability to manage time and solve conflicts effectively with excellent interpersonal skills

Previous experience in office administration and delegating tasks

 

Compensation: $40,000 annual salary

The Urban Alliance on Race Relations (UARR) is seeking a dynamic and highly organized Coordinator to support both administrative operations and the coordination of core programs. This role will serve as a vital link between the Executive Director, program leads, and external stakeholders to ensure the effective delivery of programs and the smooth functioning of the organization.

Key Responsibilities:

Program Coordination and Evaluation

  • Assist with coordination and evaluation of UARR’s three flagship programs: Equity in Education, Anti-Racism and Anti-Oppression Institute, & Diversity Youth Fellowship
  • Support the collection and analysis of internal and external data to measure program impact and inform strategy
  • Prepare program summaries and reports for distribution to funders, partners, and other stakeholders
  • Help maintain tools for program tracking, communications, and evaluation

Administrative & Operational Support

  • Serve as the first point of contact for all general inquiries, responding professionally to all emails and phone calls
  • Assist with scheduling, coordinating, and minute-taking for meetings with staff, stakeholders, and community partners
  • Manage organizational record-keeping, including digital and physical filing systems
  • Prepare correspondence and presentations, and update materials for external communications including website content, newsletters, and social media posts
  • Support the team with a variety of tasks such as collecting documents, performing data entry, and handling follow-up communications
  • Support maintenance of financial records, including tracking of expenses, payroll documentation, and accounts payable/receivable
  • Support administrative tasks related to fundraising initiatives

People & Culture Processes

  • Support the organization of Human Resources files, onboarding materials, and internal policies
  • Assist with recruitment efforts, including interview scheduling, reference checks, and drafting of contracts

Executive Support

  • Assist the Executive Director in planning and executing tasks related to the organization’s 10-Year Strategic Plan
  • Provide ad hoc administrative support to leadership as needed

Qualifications:

  • Post-secondary education in a relevant field (e.g., Nonprofit Management, Public Administration, Social Sciences, Communications) and/or equivalent experience is required
  • Minimum 3 years of relevant experience in administration, program coordination, nonprofit operations, or a related field
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities and meet tight deadlines
  • Excellent written and verbal communication skills, including experience preparing correspondence, reports, or public-facing content
  • Comfortable with data entry, file management, and digital tools for communication and project tracking
  • Strong interpersonal skills, with the ability to work collaboratively across diverse teams and communicate effectively
  • Ability to exercise sound judgment, manage time effectively, take initiative, and adapt under pressure or when navigating competing priorities
  • Familiarity with basic financial processes (e.g., payroll support, invoicing, tracking expenses) and/or human resources coordination
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace (Docs, Sheets, Calendar, etc.)

Compensation: $45,000 to $52,000 annual salary (based on qualifications and experience).
